Preparing for the Signing Appointment

To prepare for your notary appointment:

  • Have an un-expired, government-issued photo ID with you when we meet for notary services.
  • Laws vary by state and some documents may require witnesses in addition to the notarization. In some cases, a notary public might not be legally allowed to also, simultaneously, act as a signature witness.  You must provide your own witnesses; in the event you are not we can provide witnesses at an additional fee and must be arranged in advance of our signing.

Adoptions and Adoption Petitions

The adoption process is both an exciting and stressful time for the family.

At PMN we can help alleviate the stress of collecting medical records. We specialize in bringing you notary services for both domestic and international adoptions. Our assistance reduces the travel time and expense with the adoption process.

At your final hearing, we can get you sworn in for your domestic court petitions right in your living room.

PMN can also travel to obtain character reference affidavits. We meet with individuals and professionals to notarize their affidavits at a time and location of their convenience.

Copied Documents Certifications

We can certify or attest a copy of a record or an item that was copied and determined that the copy is a complete and accurate transcription or reproduction of the record or item.

Government forms are unable to be notarized as the Notary is only permitted to notarize a document that he or she witnesses being signed.  The State of Pennsylvania allows commissioned notaries to notarize COPY CERTIFICATIONS.   This form attests to the fact that the copy is a true and correct, unaltered, and unchanged document.

You present the original and a copy of your document to the Notary.  He or she then signs and notarizes a Copy Certification. The Copy Certification is affixed to the document. The two forms must be presented together.

This form is generally accepted by most organizations, including Embassies, throughout the world. We do, however, suggest that you contact the recipient of the document to make sure they will accept it.

Deeds and Deed Packages

Deeds are critical documents that are recorded by the Recorder of Deeds office. They will not record the Deed(s) if there are any mistakes.

Some things to note:

  • A Deed will not be accepted for recording if printed on two-sided paper.
  • A deed must be dated.
  • If you are signing as a Trustee or an Executor, there is specific language that you must use in addition to signing your name.

An example of this is that if your name is John Brown, and you are signing as the Executor of the Estate of Lillian Brown, under Trust Agreement dated June 5, 2015, you may have to sign the Deed as John Brown, Executor of the Estate of Lillian Brown, under Trust Agreement dated June 5, 2015.  

Make an appointment with one of our Notaries by calling or texting 860-729-4922 to make sure your Deed is signed correctly before you take it to the Recorder of Deeds Office for filing.

We can meet with you to complete your closing documents. We can also print the package for you!

Estate Planning Documents

At Parris Mobile Notary, we are always available to assist you with the notarization of your estate planning document(s).  We do suggest you make an appointment.  We work closely with attorneys.  We will attend an appointment with the attorney or, in the alternative, act as his or her representative.  

If we are representing the attorney, we will follow his or her instructions carefully. We understand the importance of having these critical documents delivered to all stakeholders, whether it be the settlor / grantor / trustor / trustee, or beneficiary. 

If we are acting as the representative of the attorney, once the document(s) have been signed and notarized, we will ensure that any document(s) you require will be returned to your office promptly in person, by private courier, FedEx or UPS.

I-9 Employment Verifications

Our notary may be an “authorized representative” specifically for the purpose of completing the I-9 form on your behalf. We can travel to your prospective employee at a time and location convenient to them.

Loan Signings

Buying (or selling) a home is one of the biggest financial decisions in our lives. It can be a long and complicated process, in which a notary public can play a vital role. 

Beyond just notarizing a document, a notary public often acts as a “signing agent”.

This should not be confused with a closing agent, a banker, or a lawyer.   The notary cannot answer questions about or change the terms of the loan. These questions are normally addressed by a representative of the title or escrow company, who, should questions arise, can be contacted from the closing table.  

A signing agent needs to be trained and certified to do this and must renew his or her certification each year.  He or she also carries errors and omission insurance.

Some jobs of the of our Notary Signing Agents are as follows:

  • He or she ensures that the title or escrow agent's instructions are carried out.
  • He or she is permitted to give a brief description of each document.
  • He or she may help borrowers locate specific pages within a loan signing package.
  • He or she may collect escrow deposits.
  • In certain instances, he or she needs to scan documents back to the title or escrow company so that funding can take place on the same day; and
  • He or she is responsible to return the loan signing package to the title company as soon as possible.  95% of the time a label is provided.

Powers of Attorney

A Power of Attorney is probably the most consequential document one is asked to Notarize.

Powers of Attorney take many forms. Powers of Attorney can cover medical, financial, and/or real estate situations.  In some instances, a Power of Attorney can be made inclusive of everything.

School Residential Affidavits

School records, such as transcripts, diplomas, and degree certificates, are often used abroad. According to the Pennsylvania Department of State, only a school's official signature can provide the notarial act.  Some schools and/or universities have a notary on staff and provide the document(s) already notarized.  

If not, this means that a notary public must meet with the school official in person. Self-attested school records (where you, not the school official) authenticate the veracity of the document of the school record often need to be apostilled or legalized for use abroad.   

The client must make the appointment and must be with you when you meet with the school official.

In the Colonial School District a residential affidavit must be on file for all students who are in rental households.   We can help you with this.

DMV Title Transfers

In Pennsylvania to transfer title of ownership for motor vehicles, both the buyer and seller must be present with unexpired identification. At this time we're not able to issue auto tags.



An Apostille is simply the name for a specialized certificate, issued by the Secretary of State. The Apostille is attached to your original document to verify it is legitimate and authentic so it will be accepted in one of the other countries who are members of the Hague Apostille Convention, a multilateral treaty to which the United States is a party. The Apostille is issued by the Secretary of State in which the document originated or notarized.
